Manage a WFS business

Overview

By now, you’ve successfully completed seller onboarding and your items have been received at a Walmart fulfillment center. You might have even seen your first sale.
Wondering what to do next to set up your items for success? Or trying to figure out when to replenish your inventory? We have several features and reports to help you analyze your business and easily make decisions. You can also download the interactive WFS Best Practices Checklist to keep you on track.

How do I manage my inventory?

The Inventory page focuses on strategies you can implement to maximize GMV and keep inventory in stock. It highlights the predicted daily GMV you may be losing due to out-of-stocks and the daily GMV at risk if a resupply doesn’t arrive within the next two weeks. We recommend you replenish your WFS inventory based on the suggested units to send, which considers your current available-to-sell inventory, your inbound inventory, and your forecasted sales for the next 8 weeks.

Additionally, the data table provides historical data from the past 30 days like daily sales and daily units sold to help you quickly understand how each item is performing. It also outlines the predicted out-of-stock date and suggested units to send to help you make inventory decisions. To replenish, just select individual items directly from this page and select the Send inventory button.

Understanding the calculations

All numbers in the Inventory page are based on actual sales over the previous 30 days. Daily averages are only calculated for the days the item was in stock during those 30 days. For example, if an item sold 30 units in the past 30 days and was only in stock for one day, the daily average sales for that item is considered 30 units. If an item sold 30 units in the past 30 days but was in stock all 30 days, the daily average sales for that item is considered 1 unit.

  • At Risk: Item has at least one unit Available to Sell and less than 28 days of supply total between Available to Sell and Inbound.
  • Out of Stock: Item has zero units Available to Sell.

Daily sales

Average GMV per day for the last 30 days. It’s total sales divided by number of days when you had at least 1 unit available to sell or sold that day.

Daily units sold

Average number of units sold per day in the last 30 days. It's total units sold divided by number of days when you had at least 1 unit available to sell or sold that day.

Available to sell

Units that are available for customers to place orders against.

Reservations

Customer orders placed for an item but not yet fulfilled. We subtract reservations when calculating available stock, so the item isn't oversold. Once these orders ship, the reservations count will decrease. If there's a canceled order, we'll remove the reservation and make the item available again.

Inbound units

Number of units that you’ve sent to WFS but haven’t been received yet.

**NOTE: Items are not instantly available to sell after an inbound order has been marked as delivered. These units will remain in the Inbound Units column until they reach a sellable state in the warehouse.

Days of supply

How many days we anticipate your current available and inbound inventory will last based on your daily forecasted sales demand.

Out-of-stock date

The date we estimate you’ll run out of inventory, based on the days of supply.

Suggested units

This is the quantity of units our algorithm suggests you send to WFS based on predicted sales demand for the next 8 weeks. To generate these suggestions, our algorithm considers several factors including past sales, seasonality, listing quality, pricing and more.

To see more information about how we've calculated your units to send to WFS, select the suggested unit quantity to open the suggestion details. You'll see a breakdown of your available-to-sell units, how many units of this item that are currently inbound to WFS, your forecasted item sales for the next 1-4 and 5-8 weeks by date, and the units to send we calculated based on these numbers.



Restock from Manage inventory

  1. Log into Seller Center and go to Inventory.
  2. Option 1: Select the Manage inventory button, then choose Send inventory from the dropdown. You'll then be guided through the Create Inbound Order process where you'll search for and select the items you want to send.
  3. Option 2: You can select items directly from the the table and add them to a new inbound order by selecting Send inventory from the options that appear.

Inventory health report

Download this report for a snapshot of your item’s performance and in-stock rate. Track how many units are available to sell, how long they’ve been on the shelf, days of supply and sales. We also updated our insights and recommendations model to display more precise data on the recommended replenishment quantity. These suggestions are based on your forecasted demand for the next 8 weeks, minus what you currently have available to sell and what you already have on the way to WFS. You can use this information to make decisions on how much of each item you should send to WFS to be prepared for anticipated demand. The forecasts that fuel these suggestions are updated every Monday.

Inventory reconciliation report

The Inventory reconciliation report captures your net inventory movement over a specific time period. It helps you compare starting and ending quantities of a SKU, as well as track how many units were sold, lost, returned, and more in between.

How do I manage my sales?

The Sales page allows you to see your sales in nearly real time, updating each hour to show you sales through the day, week, or month. Use the graphs to see if you’re winning or losing compared to yesterday, last week, or last month, and dig into why. 

The table provides sales metrics for up to 100 of your items and allows you to slice the data to focus on your top or bottom sellers. It also displays items which have had the largest GMV increase or decrease compared to the previous day, week, or month. Download the file to see your sales performance for all your items.

Orders report

This report allows you to view your data — at an order level with GMV — over a specific period of time, as well as information on units sold, shipped date, and taxes.

To download your Orders Report, log into Seller Center and go to Reports.

How do I maximize WFS sales?

Item conversion report

Not sure which items to bring to WFS? The Item Conversion Report identifies which seller-fulfilled items would perform best if you converted them to Walmart-fulfilled. It’s available to any seller who already has one Walmart-fulfilled item in their catalog. 

We rank recommendations from highest expected sales to lowest, and the report is refreshed twice a month with the latest recommendations. We suggest acting quickly on high-priority recommendations to help make the most of your GMV penetration. The report also shows a recommended quantity to inbound based on each item’s expected sales and GMV potential for the 30 days after a newly-converted WFS item becomes available to sell.

To download your Item Conversion Report, log into Seller Center and go to Reports.

GMV penetration report

This report shows you what percentage of your total sales come from Walmart-fulfilled items. It gives you greater visibility into WFS sales at a weekly, daily, and item level. If your GMV penetration is low, you may be missing out on sales. Help maximize your sales by converting more items to Walmart-fulfilled or keeping your Walmart-fulfilled inventory in stock.

Improve your content quality

Maximizing an item’s content quality score to +80% can have a significant impact on your overall sales. 

To view recommended actions for individual items:

  1. Log into Seller Center and go to Growth Opportunities under Analytics.
  2. On the Listing Quality tab, review the recommended actions. Once your content is enhanced as much as possible, your listings will naturally generate additional traffic.

BizMentor for WFS

To help you optimize and grow your business, Walmart Fulfillment Services (WFS) now has two new BizMentor insights and recommendations available directly in Seller Center. Whenever the algorithm has actionable opportunities for restocking your WFS inventory or suggested items to fulfill with Walmart, you’ll see a BizMentor notification in the top navigation. From there, you can choose to send inventory to WFS or decide which items you should convert to WFS. 

Restock these WFS items 

This feature identifies the current opportunity cost of your out-of-stock and at-risk inventory that has forecasted sales demand. It encourages you to make inventory restock decisions based how much inventory we predict you may sell through. The suggested units to send are based on your 8-week forecast, taking into account what you currently have available to sell and the inventory already on its way to WFS. Once you decide to send inventory, you’ll see a selection of your items out of stock or at risk of going out of stock soon. Each item on this page features suggested quantities of each item to send to WFS, based on your predicted demand.  The forecasts that generate these suggestions are updated every week.  

Once you select which items to send to WFS, you’ll then complete the same inbound order creation experience you see today.  

Fulfill with Walmart

This feature identifies the incremental sales lift we predict you’ll see by converting these items from seller-fulfilled to Walmart-fulfilled. Once you decide to Convert to WFS, you’ll see a list of items, the sales lift we predict you’d see from fulfilling them through WFS in the 30 days after your newly-converted items are available to sell, and how many units of each item we suggest you send in your first inbound order. 

Once you select which items to send to WFS, you’ll select Convert, which will generate a spec file available. From there, you’ll see a pop-up showing the steps you need to follow to finish converting your items to WFS. Select Create and complete spec, then follow these steps once you’re on the Convert Items to WFS page: 

  1. Select by GTIN match from the options available. You don’t have to provide additional GTIN information in step 2 on this page because you’ve already selected the items you intend to convert.  
  2. Find the most recently processed spec file, then download, complete and save it. 
  3. Upload the completed spec file. 

Once these items are converted, you’re ready to create your first inbound order! Select these items on the Shipments page to send inventory to WFS. 

These suggestions are updated on the 1st and 15th of every month. To leverage these suggestions, we recommend you convert and send your items to WFS within the next 4 weeks.
