WFS inbound orders: Send domestic inventory

Overview

Follow this guide to create an inbound order and plan shipments. You must create an inbound order in Seller Center before you send your items to a WFS fulfillment center. If not, your inventory will be delayed or rejected during check-in. 

Create an inbound order

An inbound order is the list of items and quantities you’re sending to WFS. Associates will also look at the inbound order during receiving. Here's how to create an inbound order:

1. Go to Shipments, then select Send inventory.

2. Add the expected delivery date, using your best estimate. This helps us plan for labor and space at the fulfillment center so we can efficiently receive items.

3. Check the address you're shipping from.

4. To add items, you can search for them or upload a spreadsheet with multiple items. Select Recommended items to view items with less than 2 weeks of supply.

5. For each item, fill in the number of sellable units and packing setup.

6. If you’d like WFS to package and label items for you, you can choose Prep Services for a per-unit fee.

7. Select Create when you’re done.

8. Your inbound order may be split into multiple shipments based on the items and quantity. You can either distribute inventory across the network with Inventory Transfer Services or do it yourself.

Pro tip

If you’d like to review in-stock status and sales, you can select items from the Inventory page to create an inbound order.

Save a draft

If you’re not ready to create the inbound order yet, use the Save options to save a draft for later. To edit a draft, go to the Drafts tab within the Shipments page.

Set up shipments

Next, set up each assigned shipment with carrier and packing details. Once you create your inbound order, you’ll see a pop-up confirming the number of shipments. Close the pop-up to view the inbound order details and finalize each shipment.

  1. From the inbound order details page, select Set up for a shipment.
  2. Review the item details. You can add up to 6 more units if needed.
  3. In the side panel, choose a Walmart preferred carrier for discounted rates or use your own carrier. Then choose a freight type.
  4. Enter packing details for the master cases or pallets. If you choose Walmart preferred carrier, add weight and dimensions to calculate a price.*
  5. Add contact and operating hours. This step is optional if you’re using your own carrier.
  6. Review and confirm your shipment.

*If you choose a Walmart preferred carrier, you'll have a limited window to void charges and edit the shipment: 24 hours for small parcel and 1 hour for freight. This helps ensure we're locking in the best carrier rate at the time you set up your shipment.

Cancel an inbound order

You can cancel an inbound order before it’s picked up by a carrier or arrives at the fulfillment center. If any of the shipment IDs have an In transit, Receiving or Closed status, you won’t be able to cancel.

  1. Log into Seller Center and go to Shipments.
  2. Search for the inbound order ID.
  3. Select the 3 dots, then choose the View order option.
  4. Select Cancel inbound order.

Notes

To optimize your assortment across the WFS network, you can only cancel an inbound order and not individual shipments.

Prepare shipments

Make sure items, master cases and pallets follow the packing and labeling requirements in the WFS Routing Guide. To download carrier and receiving labels, view WFS inbound orders: Labels. If you’re using your own carrier, make sure the carrier schedules a delivery appointment with the fulfillment center.
